Privacy policy

This policy explains how Pack and Fly, a business name of Gita N Nayna Pty Ltd (ABN 61 645 687 592) handles your personal information, and it applies to everything we do: enquiries through this website, quotes, bookings and the emails in between. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

To quote a trip we usually need only your name, your contact details, your dates and who is travelling. To book and ticket one we need more, because airlines and border authorities require it: full name exactly as it appears on your passport, date of birth, passport number, expiry and country of issue, frequent flyer numbers, and payment details. We also collect anything you tell us that affects the booking, such as seat preferences, dietary requirements, mobility needs or a medical condition that changes what you can book.

Sensitive information

Health and dietary information is sensitive information under the Privacy Act. We collect it only where you give it to us for a booking, we use it only to make that booking work, and we pass it only to the supplier who needs it, such as an airline recording a wheelchair request or a meal. If you would rather arrange that directly with the airline yourself, tell us and we will leave it out.

Why we collect it

To answer your enquiry, prepare quotes, make and hold bookings, issue tickets and documents, process payments, contact you about a booking you have with us, and meet our own record keeping obligations. We do not sell your information to anybody, and we do not add you to a marketing list because you asked for a quote.

Who we disclose it to, including overseas

Booking travel means sharing your details with the people providing it: airlines, hotels, tour and transfer operators, cruise lines, wholesalers, the global reservation systems that hold airline bookings, and payment processors. Many of them are outside Australia, and once a booking is made, border and security authorities in the countries you travel to and through can require access to it. That is a consequence of travelling rather than a choice we make on your behalf, and their handling of your information is governed by their own law rather than ours. If you do not want your information disclosed this way, we cannot make the booking.

Payment details

Card payments are processed by the airline, the supplier or a payment provider. We use card details for the transaction you have authorised and we do not keep them on file to use later unless you have asked us to in writing.

This website

The enquiry form sends us what you type into it, and nothing else. This site does not set advertising cookies and does not run a tracking pixel for any advertising network. We use Google Analytics to count visits and see which pages get read. It sets cookies and records a truncated version of your IP address. You can block it with any browser setting or extension that blocks analytics, and nothing on the site will stop working.

How we store it, and for how long

Booking records are held in our reservation and email systems, which are password protected and accessible only to the people who need them. We keep booking records for seven years after travel, because tax and consumer law records commonly need to be produced for that long, then we destroy or de-identify them. Quotes that never became bookings are cleared out sooner.

Getting at it, and correcting it

You can ask us for a copy of the personal information we hold about you, and ask us to correct anything wrong. Email us and we will respond within 30 days. There is no charge for asking. If we refuse, we will tell you why in writing.

Complaints

If you think we have mishandled your information, email us first and we will investigate and reply within 30 days. If you are not satisfied with how we handled it, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au, which is free and independent of us.
